What we collect, what we do with it, and how to take it back.

Voxhill is a single-business tool that watches your public reviews, drafts replies in your voice, and pages you when something is actually urgent. Here is what that involves on the data side — written plainly.

Section 1

What we collect.

Three buckets — your signup details, the review content we pull on your behalf, and a small set of voice samples we use to match your tone.

Account email + workspace + location names. The work email you sign up with is the primary identifier. Each workspace has a name, and one or more named locations — separate entities, because multi-spot owners track each spot on its own (a downtown cafe and a suburban cafe, even when both belong to the same workspace, share a brand voice but track separate reviews).

Ingested review text. Once you connect Google, Yelp, Facebook, Tripadvisor, or Nextdoor, we read new and recent reviews from those sources on your behalf — through your manager login, with the same access a human staffer would have. If you give us your website URL or an FAQ page at connection time, we read those once to learn the basics about your shop.

Brand-voice samples (appendix). To learn the way you reply, we read your last ~50 public replies from the platforms you connected. The sample is used to draft in your voice — drafts land in your inbox for a one-tap approval before anything goes live, and we keep just enough history to retune if you change your mind.

Section 2

How we use it.

Drafts, summaries, and urgent pages — and not much else.

Drafting replies. New reviews flow into your inbox as drafts in your voice. You approve or edit each one before it posts.

Sentiment scoring. Every review is scored on tone and urgency so the inbox sorts itself — five-stars last, real frictions first.

Weekly report. A short summary of new reviews, replies sent, and trends goes out weekly so you can see whether things are moving.

Urgent paging. Genuinely urgent reviews (a safety issue, a legal threat, a pattern of low scores) trigger a fast notification so you are not the last to know.

Section 3

What we never do.

Hard list. None of this is on by default, and none of it will be added without changing this page first.

We never sell your data. Not your reviews, not your drafts, not your workspace name, not your contact details. Period.

We never rent or share it with ad networks. No third-party retargeting pixels, no audience lookalikes built from your reviews, no off-platform profiling of your customers.

We never enrich your reviews with outside data. The reviews you see in Voxhill are the reviews as posted on the platforms you connected — no third-party enrichment layers, no appending of public records or social-graph data behind the scenes.

We never add you to a marketing list. Your work email is not shared with other SaaS products, partner newsletters, or co-marketing campaigns. We may email you about Voxhill itself — never about someone else's product.

Section 4

Your data, your call.

One email asks for either. The owner handles it personally — usually within a few days.

Export. Email asks for an export. The reply arrives with a JSON download of everything we hold for the workspace — reviews, drafts, history, OAuth tokens metadata, and billing history. CSV is available on request if that shape works better for your tools.

Delete. Email asks for a deletion. The workspace is wiped: reviews, drafts, OAuth tokens, history, and the workspace record itself. No soft-delete, no retention grace period beyond a 7-day safety window in case the request was not really you.

What this is not. Voxhill is a founder-operated product, so the export and delete paths run through the owner at the address below — not from the dashboard. That is by design, while the product is small enough for one person to keep tight.

Section 5

Who else handles your data.

A short list. Each one is in the loop because Voxhill genuinely needs it; nothing here is on by default.

Processors. OpenAI drafts and scores reviews on our behalf. Stripe handles billing. The platform Postgres database stores your workspace.

Data sources (not vendors). Google, Yelp, Facebook, Tripadvisor, and Nextdoor are the suppliers of the reviews you asked us to watch. They handle their own data under their own terms — we only read and post on your behalf through your manager login.

Section 6

How long it stays.

As long as the account is active. If you cancel, dashboard cancellation ends billing at the next cycle, and a single email ends the rest.

Workspace data. Your reviews, drafts, and history live as long as your account is active. Cancellation stops further drafts and ends billing at the next cycle. Connected profiles and history stay yours in case you come back later.

Connected OAuth tokens. The tokens we hold for Google, Yelp, and the other platforms are governed by each platform's own terms — and you can revoke them from the platform's account settings, not just ours.

Section 7
